Enabling Internal Event Planning @ Meta

Help Meta employees advertise and plan workplace events. Request and provide locations, catering, transportation, and security.

Refine and redesign the Meta Events Planning tool to aid service providers with notification triaging, and event reassignment.

As an event host…

I need to be able to understand how to request key services, and feel confident that my event will be properly marketed and staffed.

Clearly surface important information to make sure that event hosts and service providers are able to plan and communicate their needs.

To save time on behalf of their service providers and be able to handle multiple internal and external events.

Role and Responsibilities

I was the assigned product designer to the Events team responsible for research and design over the course of this month-long project. I worked closely with a product manager, project manager, and 2 engineers.

Key Product Features

Overall UX Redesign, and Incorporation with Workplace

Previous design was cluttered, and used an expandable accordion overlay to convey key information.


Notable Changes:

• Updated UI reflects the changing visual standards of Facebook enterprise products
• Event details become full pages that allow for a view mode and edit mode
• Navigating between types of services becomes easy with large, modern icon buttons

Event Triaging: Challenges

• Service providers bombarded with email and in-tool notifications for any changes made to their events

• Only way to clear those notifications was to take some action on the notification, whether that mean commenting "seen" or changing a room location

• Getting rid of these notification required at least 3 clicks into an event, causing unnecessary work on the part of the user

Event Triaging: Solutions

Initial Solution:

Move triage out of the 'filter' search bar and into a new page, allow service providers to take action on notifications in one click

Descoping and designing efficiently:

• after consulting with engineer, building new cards would take too long
• activity bar is really hard to understand, and users cannot take action through it
• a re-designed activity bar reduces notification noise and allows service providers to take action on notifications in less clicks
• re-design includes updated UI, a clearer indication of seen vs. unseen notifications, buttons that allow users to go directly to the source of the new change or comment
